At iSmart Control, we take looking after your personal information as seriously as looking after your home. This policy explains, in plain English, what information we collect through ismartcontrol.co.uk, why we collect it, and the choices you have.
Who we are
iSmart Control is a smart home installer based in Birmingham. We design and install Lutron lighting and blinds, Control4 home automation, home cinema, Ajax security systems and home networking. We also carry out home build and renovation projects across the Midlands and offer aftercare memberships.
iSmart Control is a trading name of iSmart Control Limited, a company registered in England and Wales (company number 12056671), with its registered address at Flexspace Business Park, Unit 2, Middlemore Road, Birmingham, B21 0AL.
For the purposes of UK data protection law, we are the controller of your personal information. If you have any questions about this policy, email us at admin@ismartcontrol.co.uk or call 0121 716 7777.
What information we collect
We only collect information you choose to give us through our website forms:
- Estimate request. Your name, email address, phone number, postcode, property type, the services you're interested in, an optional budget band, an optional note of how you heard about us, and any project details you include.
- Contact form. Your name, email address and your message, plus a phone number if you choose to add one.
Please don't include sensitive information (such as health details) or security information about your property, like alarm codes, in a form. We'll ask for anything we need when we speak to you.
If you accept analytics cookies, Google Tag Manager may also collect technical information about how you use the site, such as the pages you visit. We don't set those cookies unless you agree. See Cookies below.
Separately, iSmart Control Limited counts two actions without cookies: a tap on the phone number in the header or the mobile call bar, and an enquiry the form has accepted. Each count is the name of the action, the page path (such as /contact) and the time. It does not include your name, email, phone number, message, or anything else you type into a form. The count is sent only after the enquiry email has already gone out, and it does not delay that email.
If a Cloudflare Web Analytics token is set for the site, we also load Cloudflare's cookie-free beacon, which measures visits without setting a cookie and without receiving what you type into a form. That beacon stays off until the token is set.
We keep a short-lived count of how many forms each connection sends, for about 10 minutes, so the inbox cannot be flooded. That count does not include the contents of the form. If the limit is reached, the page shows 0121 716 7777 so you can still call.
How we use your information
We use the information you give us to:
- respond to your enquiry and answer your questions
- prepare an estimate or quote for your project
- arrange a call, survey or site visit if you'd like one
- keep a record of our conversations with you
We will never sell your personal information. We won't send you marketing emails or newsletters unless you've told us you'd like them, and you can change your mind at any time.
Our lawful bases
UK data protection law requires us to have a lawful basis for using your information. We rely on:
- Steps before entering into a contract. When you ask us for an estimate or quote, we need your details to prepare it and discuss it with you.
- Legitimate interests. It is in our legitimate interests to reply to enquiries, keep sensible business records and keep the website secure, as long as this doesn't override your rights.
- Consent. For any marketing, and for non-essential cookies such as analytics. You can withdraw your consent at any time.
- Legal obligation. Where we need to keep records for tax and accounting purposes.
Who we share your information with
Your information is shared only with people and services that help us run the business:
- Our team, by email. Form submissions are emailed to our team so that someone can pick up your enquiry quickly. The message is not stored in a customer database on the website.
- Our website host, which serves the pages and runs the form so the email can be sent. They act as a processor and may only use your information on our instructions.
- The email service that delivers the message, once email delivery is switched on for the site.
- Google, if you accept analytics cookies. Tags run inside Google Tag Manager container GTM-58LH3ZLZ. If you decline, that container is not loaded.
- Cloudflare, our website host, for the cookie-free call and enquiry counts, and for Cloudflare Web Analytics when that beacon is switched on. Those counts are the action, the page path and the time. They are not your form.
- Professional advisers or authorities, such as our accountants, or where the law requires us to share information.
International transfers
Email delivery and, if you accept analytics, Google may process information outside the United Kingdom, including in the United States. Where personal information is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Addendum, standard contractual clauses, or the UK–US data bridge, so that your information stays protected to UK standards.
How long we keep your information
We only keep your information for as long as we need it:
- Enquiries that don't go ahead: deleted after 24 months from our last contact with you.
- Customer records, including quotes, invoices and project details: kept for 6 years after the end of the financial year they relate to, to meet our tax and accounting obligations.
Keeping your information secure
We use secure services to host the website and handle email, and we limit access to your information to the people who need it to deal with your enquiry. The form uses a hidden field to catch automated spam. No website or email system can be completely secure, but we take reasonable steps to protect your information from loss, misuse or unauthorised access.
Your rights
Under UK data protection law, you have the right to:
- Access. Ask for a copy of the personal information we hold about you.
- Rectification. Ask us to correct information that's wrong or incomplete.
- Erasure. Ask us to delete your information in certain circumstances.
- Restriction. Ask us to limit how we use your information.
- Objection. Object to us using your information on the basis of legitimate interests, and to any marketing at any time.
- Portability. Ask for information you've given us in a commonly used digital format, or for it to be sent to another organisation.
To use any of these rights, email admin@ismartcontrol.co.uk or call 0121 716 7777. There's no charge, and we'll respond within one month.
Making a complaint
If you're unhappy with how we've handled your information, please talk to us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- Website: ico.org.uk
- Helpline: 0303 123 1113
Cookies
Cookies are small text files saved on your device when you visit a website. This site uses two kinds:
- Essential. A record of your cookie choice, stored in your browser's local storage so we don't ask on every page, and so we know whether we may load analytics. This isn't used for advertising. It can't be switched off if you want the site to remember your decision. You can clear it in your browser, and we'll ask again.
- Analytics. Google Tag Manager (container GTM-58LH3ZLZ) helps us understand how visitors use the site, such as which pages are most popular, so we can improve it. We only load it if you press Accept on the cookie banner. Reject leaves it unloaded. You can change your mind at any time from Cookie settings in the footer.
You can also block or delete cookies in your browser settings. Some parts of the site may not remember your choice if you block storage entirely.
The call and enquiry counts, and Cloudflare Web Analytics when it is switched on, do not use cookies. They are described above.
We don't use advertising cookies, and we don't sell cookie data.
Changes to this policy
We may update this policy from time to time, for example if we change how we handle enquiries. The latest version will always be on this page, with the date it was last updated at the top.
